Taxonomy Management is a Must Have Capability for a Successful Implementation of SharePoint

Taxonomy is an important concept, but one that is rarely understood in a manner that delivers value for computing processes. A quick look at a discussion group exchange recorded on MSDN about the term “taxonomy” is indicative of the extent to which this term is misunderstood. Certainly, taxonomy is much more than simply a “keyword process” as one participant in this discussion asserts. In fact, a keyword process is useful as the result of a successful application of taxonomy to data. In the case of SharePoint 2010, if documents and lists cannot be assigned to categories of information, as appropriate, then keyword search will be ineffective.

But keyword search is simply a feature for SharePoint 2010. The real problem of implementing SharePoint as a document and list repository without developing, first, a useful taxonomy, is that the process of collecting information will not be sensible, akin to simply “putting up” SharePoint. Of course there is substantial power to be found in an ability to access historical information, as required, for specific present day purposes. A familiar example that is often provided about SharePoint when a discussion of value is at hand, is that, with this type of data access system in place, the frequency at which processes are duplicated will surely be reduced, which reduction, in fact, will deliver substantial value in the form of hard dollar cost savings to the organizations that build these SharePoint systems.

In fact, we think this example makes a lot of sense. It is important to understand that without first defining a taxonomy, which is a structure for categories of information, and then applying it, uniformly to as much of the information stored in SharePoint 2010 Document Libraries and Lists, it will not be possible to use SharePoint to minimize costly duplication of efforts. Therefore, it should be an important objective of any SharePoint implementation that the personnel shouldering the responsibility of building the system have a thorough and consistent understanding of taxonomy as it applies to SharePoint.
