SharePoint 2013 Community Sites can be Used to Support a Diverse Set of Project Management Efforts

A community site in SharePoint 2013 can be used as a knowledge center and information repository. Community sites are particularly useful for project management applications. Project notes can be stored in one of these SharePoint 2013 community sites. Any site members will then have access to the information, which should help improve the efficiency of subsequent projects.

Applying the SharePoint community site feature to service project management efforts makes good sense for large enterprises with a diverse set of ongoing projects. Dux Raymond Sy, PMP, SharePoint MVP and published author presents this option in a video tutorial included in his SharePoint 2013: Project Management series, titled SharePoint Communities.

Dux defines “communities” as “specialized sites where [personnel] sharing the same interests, or topics, can all engage and learn from each other.” He points out the prominent position of the site newsfeed, what he calls the “discussion board”, which is exposed on the front page of the site.

While all of this may sound idealistic, there is, nevertheless, a lot to be said for working earnestly to hasten user adoption of SharePoint so features like community sites can be implemented. Precisely as Dux notes, when users adopt SharePoint 2013 and the community sites feature, enterprise expenses for procuring, implementing and maintaining a disparate set of competitive project management tools and solutions diminishes. So funds are saved and the organization no doubtedly benefits.

Community sites play a dual role in this tactic. On the one hand they are an objective driving user adoption, while on the other, they provide a necessary incentive for users to consider adoption in the first place. So they are an important feature, all the way around.

The community sites feature looks particularly promising for organizations looking to breakdown internal silos. By encouraging personnel from different business units to collaborate on the construction and management of a community site, an improvement in collaboration should become apparent.
