Applying SharePoint Server 2013 to Change Management Requirements

This is our last blog post on a series of videos titled SP13-302 SharePoint 2013: Project Management. The series is authored by Dux Raymond Sy, PMP & SharePoint MVP.

A very popular application built on project management principals across enterprise b usinesses and comparably sized organizations in the public and not-for-profit sectors is change management. As Dux demonstrates in a video included in this series, titled “Change Management and Automate Processes”, SharePoint Server 2013 can be configured to support this application, with little need for additional software.

The method of using SharePoint 2013 as a platform for change management is built on the workflow feature. Dux first adds an app (a SharePoint Custom List titled “Change Request”). He then adds several columns to the out of the box custom list, which includes two columns. The workflow, which follows is built to perform calculations based upon the information to be stored in the columns, including date, text fields and a status option, to be selected by users based on a choice.

The important point is the ease with which the change form is put together once the custom list is correctly designed to store the required information. Certainly most IT organizations will be comfortable with the procedures demonstrated in this video tutorial, not to mention Line of Business (LoB) units. This latter group of SharePoint users can be trained, quite effectively, to build similar systems by themselves, thereby freeing IT personnel to handle other, more pressing tasks. At the same time, substantial cost (which would otherwise be required to hire specialized talent to build the required systems) can be saved and applied, as required, to other needs.
